We're looking for an Office / Admin Assistant (Permanent, Part Time). 


POSITION SUMMARY: 

Minimum Hours are Monday and Thursday 9:00am to 5:00pm with additional days as required at month end and for vacation relief.

This position requires a well-organized individual who is able to provide exceptional and compassionate customer service to existing and potential clients. The successful candidate needs to be eager to work, adaptable to change, able to multi task, prioritize, and provide support to our clients and staff. We are searching for a team player for our friendly office atmosphere. 

KEY DUTIES AND RESPONSIBILITIES: 

  • Answering calls and inquiries from existing and potential clients and creditors 
  • Scheduling appointments and following up with daily appointment confirmations 
  • Responding to On Line Chat inquiries 
  • Welcoming clients and guests to office 
  • Setting up new clients in database 
  • Accepting and recording payments from clients 
  • Batching and balancing daily payments and creating daily bank deposit 
  • Prepares Weekly mailing to potential clients 
  • General clerical duties (including photocopying, scanning, faxing, filing, mailing) 
  • Other duties as assigned 

EDUCATION/EXPERIENCE, SKILLS 

  • Grade 12 Diploma with post-secondary education and/or equivalent office experience work 
  • Working knowledge of Microsoft (including Outlook, Word and Excel) 
  • Willing to learn proprietary software application 
  • Ability to coordinate tasks, multi task, prioritize and work under pressure 
  • Shows initiative for and is adaptable to change 
  • Attention to detail and accuracy are essential 
  • Ability to follow up is crucial 
  • Excellent customer service skills 
  • Excellent written and oral communication skills 
  • Professional, friendly and compassionate
